Nexto Reports — the Map and the Customer Statement

The most common complaint about accounting software is not that a report is missing — it is not knowing which one to open. This episode is the map: what exists in Nexto, and which report answers which question. It then goes deep on the customer statement, the page you will use more than all the others put together.

Step by step

1. Think in four questions, not seventeen menu items

Nexto has seventeen reports, and they all answer one of four questions. Where is my money — assets, the cash book, the currency position. Who owes whom — the general ledger, receivables and payables. Where is the profit coming from — profit and loss, trade profit, commissions. And what is still unfinished — open jobs and pending items. Learn the four questions and the menu stops being a maze.

2. Open the customer statement and pick an account

Pick an account and everything that account has ever done is in front of you. This is the page you will open every day, so it is worth learning properly.

3. Read the balances at the top

A customer can have a balance in several currencies at once, so each one is shown separately. Adding them together would be meaningless, which is exactly why Nexto does not do it.

4. Narrow it down with the filters

The filters let you show the last so many records, or a date range, or a single currency. When a customer rings and asks about last month, this is where you answer from.

5. Follow the running balance

Each line is a document: the date, the description, debit, credit and the running balance. That last column is the one to watch — it shows what the balance was after every single transaction, so when a customer disputes a figure you can point at the exact line where things diverged.

6. Use the reconciliation view for disagreements

There is also a reconciliation view, and it is built for exactly the awkward conversation: our books say one thing, yours say another. Instead of reading out two lists over the phone, you both look at the same page.

7. Export or send the statement

The statement does not have to stay on your screen. Excel, PDF, and — as covered in /learn/whatsapp — send the statement straight to the customer on WhatsApp. Every table in Nexto has these two export buttons; this is a rule of the software, not a feature of this one page.

8. Close the account when the dealings are finished

When a customer's dealings are finished and small balances are left over in several currencies, closing the account brings them together into one settlement, instead of leaving odd amounts lying around for years.

9. Check customer statistics once a month

Next to the statement there is also a customer statistics page, and this one is more of a management tool than an accounting one: turnover, how many trades, the average deal size, and how much profit this customer has actually produced for you. The in-app page help (the ? icon at the top of the page) has more detail.

Tips

  • Never add balances in different currencies together. Read each currency line on its own.
  • Offices are often surprised: the customer who rings most is not the customer who brings the most profit. Numbers on a page settle that argument faster than anybody's memory.
  • Look at customer statistics once a month, not once a year — the pattern only shows up if you keep watching.

FAQ

Why does Nexto show several balances for one customer?

Because a customer can genuinely owe you in one currency and be owed in another at the same time. Combining them into a single figure would hide that, so Nexto shows each currency separately.

How do I answer a customer who disputes a figure?

Open their statement and follow the running balance column. It shows the balance after every single transaction, so you can point at the exact line where your books and their memory diverged.

Can I send a statement to a customer without printing it?

Yes. Export it to Excel or PDF, or send it straight to the customer on WhatsApp — the WhatsApp connection is set up in the WhatsApp episode.

What does closing the account actually do?

It gathers the small leftover balances a finished customer has across several currencies into one settlement. It is for tidying up relationships that are over, not for accounts still in use.
