9 Capabilities Every Exchange Software Must Have

Vendors pad the feature list so the important and the trivial blur together. These nine capabilities are the red lines: without any one of them, exchange software will sooner or later let you down.

Every vendor has a long feature list. The skill isn't seeing what's there; it's knowing which ones, if missing, break the deal. These nine capabilities aren't "nice to have" — they're red lines. Without any one of them, exchange software will sooner or later let you down.

Items 1–4 are the exchange core; software that stumbles here is the wrong choice, however strong elsewhere.

1. Native currency position and revaluation

The core of exchange work. If the software doesn't know how open you are on each currency and what its value is at today's rate, it's general accounting with an "exchange" label. We've unpacked this difference in position and revaluation.

2. Real-time profit with weighted average

Profit has to be calculated the moment a trade is booked, based on the weighted-average cost — not the gap against the last purchase, not at month-end. Software that doesn't give you real profit in real time keeps you in the dark.

3. Multi-currency double-entry general ledger

Beneath every trade and remittance there should be a multi-currency double-entry document that always stays balanced. This is what makes the difference between "recording" and "knowing," and what makes reconciliation possible.

4. Remittance and counterparty management

There's no exchange without remittance. The software has to manage remittances, two-sided fees, and partner-exchange accounts natively — not with a jury-rigged description field.

5. Multiple users with role-based access

The moment you have staff, you need it. Each user should see only their own work; profit and loss, deleting a document, and changing a rate should all have access control, and every change should be logged.

6. Real work from mobile

Not just viewing reports — booking trades, transfers, and approving receipts should be doable from a phone too. An exchange owner who's out shouldn't have to put operations on hold.

7. Data ownership and free backups

A full backup, downloadable and restorable, every day, with no lock. If you can't take your data out, you don't own it. The why is in data ownership and backups.

8. Complete reports with Excel and PDF export

Every table should have full server-side filtering and Excel/PDF export — from the profit and loss statement to the customer statement. A report you can't pull out is only half a report.

9. WhatsApp automation and OCR

Receipts come in over WhatsApp; the software should turn the message into a document and the receipt into data with OCR, leaving the operator to just approve. This is exactly where the new generation of software separates from the old.

How to use this list

Put these nine points in columns and, during the demo, ask them to show you each one — not in the brochure, in practice. Software that stumbles on items 1 through 4 (the exchange core) is the wrong choice, however strong it is on the rest.
