Issue gold pieces
Hand over gold pieces held in a cash box to a counterparty, or move them to another cash box; you can also give a coin without a serial number or any other currency (for example, US dollars) in the same document. The pieces are the ones recorded with “Receive gold pieces”. This page is visible only when “Gold trading” is on in Settings.
Step by step
- Choose From cash box. The side column shows that cash box’s stock: number of pieces, metal, making charge and value (metal + making charge).
- To (counterparty or another cash box): who receives the pieces. Their balance shows in the side column.
- In the Add piece box, type the assay mark, serial, lab or weight, or scan the assay mark with a barcode scanner, and press Enter. If the assay mark or serial matches exactly, or only one piece is found, the piece goes straight into Selected pieces; otherwise click the piece you want in the results list (or move to it with ↑ and ↓ and press Enter).
- Set the “Selling making charge” for each selected piece. Remove a piece from the list with ×.
- Enter notes and the date (up to 3 days back is allowed) and click Record issue.
Small cash box: all pieces at once
The Add all pieces in the cash box button brings every piece in the cash box into the list at once (for more than 20 pieces it asks for confirmation first). Clear list removes them all. Changing the cash box also clears the list, because the pieces must come from that same cash box.
Coin or currency
Below the selected pieces, add a row with + Coin or currency, choose the coin or currency and enter the quantity or amount. These rows are not pieces; they are deducted from that currency’s balance in the cash box (the “Cash box stock” side column shows the balance of each coin and currency by name). A document can contain only coins or currencies, with no piece at all. A row without an amount is ignored.
Pieces are handed over whole
A piece is never split. If the weight of the pieces differs from what you owed, the difference simply stays on the counterparty’s balance.
Selling making charge
| Option | Description |
|---|---|
| Same as purchase charge | Default; the making charge recorded on the piece when it was received |
| No making charge | No charge is taken from the counterparty |
| Percent | The piece’s metal × percentage |
| Fixed (grams) | That many 18K grams |
Each piece’s “Total” and the summary below the table (pieces, metal, making charge, total 18K g and bars) update with every addition, removal and charge change.
What is posted to the ledger?
All in 18K grams:
- The counterparty is debited with metal + selling making charge.
- The cash box is credited with the metal.
- “Gold Making Charges in Stock” is credited with that piece’s purchase making charge.
- The difference between the selling and the purchase charge goes to “Gold Making Charge Profit” (income). Only people allowed to see profit can see this account.
In plain words: the making charge you put on the piece when buying it is closed when the piece is sold, and whatever you charge above (or below) it is your making charge profit (or loss).
Moving between cash boxes
If the destination is another cash box, this is a “move”: only the metal goes from one cash box to the other, the making charge stays attached to the piece and no profit is recorded.
Notes
- The document is recorded as type “Gold document”. It cannot be edited, but it can be deleted or reversed (storno); deleting an issue returns the pieces to the cash box. If those pieces were later issued or moved again, undo that later document first.
- A serial-numbered bar has no making charge; one unit leaves the cash box and one unit goes to the counterparty. In the selection list, a bar appears with its name and serial.
- A coin or currency has no making charge either; that amount leaves the cash box and goes to the counterparty. Deleting or reversing the document also reverses the coin or currency rows.
Description in statements
The document writes its own description, and that is what appears in statements (your “Notes” text appears next to it):
- Counterparty statement: e.g. “Received 2 melted pieces (assay mark 64569, assay mark 1209835) and 1 crafted piece (bangle) from [your business name] — metal 80.120 + making charge 4.000”.
- Cash box statement: “Delivered … to [counterparty] — metal 80.120”.
- Bars and coins or currencies by their own names: “1 5-gram bar (serial ZR-1001)”, “2 Emami coins”, “40 US dollars”.
- Move: “Moved … from [cash box] / to [cash box]”.
Receipt and WhatsApp
After saving, click Customer receipt on the document page. The receipt has the same layout as the customer transfer receipt, and its direction is written one way, from the customer’s point of view:
- The title “Receipt: gold received from customer” or “Receipt: gold delivered to customer”, with a clear sentence: “The gold below was received from you and credited to your account” or “The gold below was delivered to you and debited from your account”.
- On the receipt, bars and coins or currencies are written by name, not by their short code. When the document has a coin or currency, the sentence reads “The following items were delivered to you and deducted from your account”.
- At the top, the customer’s name with their account number (and phone and the last four digits of their national ID, if recorded), then a colored box with the 18K-gram total (and, separately, metal + making charge), the pieces table, and space for the customer’s signature and the stamp.
- Choose the receipt language, print it, download its image, or send that same image to the party’s WhatsApp group.
- Choose A5 or A4 paper; your choice is remembered. A long list continues on the next page and the table header repeats on every page.
“Send to customer WhatsApp” sends a text message using the “Gold delivered (pieces)” template, which you can edit under WhatsApp message templates.
