Record Currency Buy & Sell

This page is the heart of the app: every time you trade currency with a customer — selling or buying — you record it here. With one entry, the customer's account is updated in both currencies, the trade's profit is calculated using the "weighted-average cost" method and lands in the reports, and if you like, a trade summary goes out to the customer's WhatsApp group too. You never need to write anything down twice.

Where This Page Fits

  • All trades are listed in Trades; adjusting/cancelling also happens from there (an adjusting voucher is issued, nothing gets erased).
  • You see the trade's effect immediately in the customer's Statement and in Currency Position.
  • The default rate is read from the Board Rate; you can overwrite it with your own agreed rate.

Step by Step

  1. Choose the trade type: "Sell to customer" or "Buy from customer".
  2. Find the customer by name, number, or phone.
  3. Choose the two currencies (what you're giving, what you're getting).
  4. Enter the first currency's amount, then the rate — the second side's amount is calculated automatically. (The rate and second side are locked together; the first amount stays untouched.)
  5. If there's a fee involved, set its status and amount.
  6. Save; if you like, send the summary to the customer's WhatsApp group right from the voucher.

Fields

Field Description
Trade type "Sell to customer" or "Buy from customer" — only swaps which currency is on which side; the bookkeeping result is the same.
Customer account / counterparty The customer the trade is with. Search by name, number, or phone.
Currency the exchange sells The currency you're handing over to the customer (e.g., dirham).
Currency the exchange buys The currency you're taking from the customer (e.g., toman).
Sale amount / receipt amount The amounts on both sides; enter one plus the rate, and the other is calculated.
Conversion rate The rate agreed with the customer.
Fee status No fee / receive from customer / pay to customer. The fee currency must be one of the trade's two currencies.
Trader The user who carried out the trade — the basis for the "Trader Commission" report.
Description Shown in the customer's statement and the WhatsApp message.
Confidential note Internal only; never sent or exported to the customer.
Date and time Defaults to now; recording with a past date depends on the "Record with a past date" setting.

Notes

  • Made a mistake? Don't worry — open the voucher from the trades list and "Adjust" it; the system issues an adjusting voucher and the full trail is kept.
  • The fee is folded into the settlement amount but mentioned separately in the voucher description and WhatsApp message.
  • The trade's WhatsApp message can be customized from WhatsApp Message Templates.
  • The "Sell to customer / Buy from customer" switch determines the trade type in reports, and exactly what you choose is what gets recorded — glance at it before saving.

Editing without a reversal entry (edit window)

For a few hours after posting (default 24 — configurable in Settings), pressing the correct-document button edits the document in place: no reversal entry, no cluttered statement — just a ✎ mark next to the reference and a full history (what changed, when, by whom). Profit and average cost are recalculated automatically. Documents that are reconciliation-ticked, funds-verified, part of a completed batch, or reversed are excluded and — like anything after the window — can only be corrected with the classic reversal entry.

Note: field locks apply only when posting a new trade; when editing a document, the form is not filled from locked values.
