Voucher

Every financial event in the app is a "voucher," and this page is its complete ID card: debit/credit entries (the language of double-entry bookkeeping), the related trade/transfer details, who recorded it, attachments, and its adjustment status.

Where This Page Fits

  • You reach this page from the Trades, Transfers, or Statement lists.
  • "Adjusting a voucher" doesn't erase the earlier version; an adjusting voucher (a reversal) is issued and a new voucher is recorded, so the full trail remains.
  • Sending the voucher summary to the customer's WhatsApp group is possible right from this page.

Notes

  • Whether adjustment is possible depends on the "Voucher editing" setting (whether it's enabled and its deadline in days) and the user's permission.

  • If you open the edit form and press "Save" without changing anything, no document is created — neither an in-place edit nor an adjustment; and you do not need the edit form just to view details: this page shows everything (receipt attachment, funds status, edit history).

  • Both the adjusting voucher and the original stay in the reports, and their net effect is zero (a reversal).

  • If you're new and "Debit/Credit" confuses you: debit means "became owed to the exchange / the exchange's assets increased," and credit is the opposite.

  • Next to each account name on this document there are two icons: Customer stats (customers only) and Statement — both open in a new tab so you don’t lose the document.

  • "Not received" button next to the slip's collection status: if the account holder says the amount never arrived, one click sends the slip to the pending-collection queue with a red marker for follow-up from the funds desk; clicking again removes the tag.

  • Unlocking a specific document: when the edit window has passed or closed after a statement was sent, a holder of the "unlock a specific document" permission can open just this document with the 🔒 button for 2 hours (or until the first edit) — recorded in the activity log. Structural guards (verified slip, completed commitment installment, identified document) are not lifted. While the unlock is active, the general correction deadline (settings) is also waived for every holder of the edit permission — a document the manager unlocked is open for colleagues too.

  • Header editing (always open): description, private note and hidden/normal state affect no balance, so they stay editable outside the edit window (✎ button under the header). Hidden/normal needs the hidden-accounts permission, and every change lands in the edit history. A trade's trader is likewise always changeable from the document body.

  • Reversal outside the window: once the document-correction window (settings) has passed, only holders of "reverse outside the time window (senior accountant)" may reverse a document.

  • On transfer documents, the tracking code and slip attachment are also part of the always-open header (replace or remove the attachment with no ledger effect).

Unknown-party identification chain

When a document involves the Unknown Party account (either as the original or as an identification document), the "identification chain" card below the document shows everything at a glance: the original document, all identification documents (reversed ones struck through), and the unidentified remaining per currency — green means fully identified, red means something is still open.

Document links

When a document is connected elsewhere, a "Document links" card appears below it: which commitment it is an installment of (with paid/remaining), which WhatsApp message it was registered from (with text and source-slip thumbnail), and for deal legs, a link to the other leg.

Average cost in the trade summary

On trade documents, with the “Profit & loss report” permission, you see below the rates which position the document’s profit was computed from: the average cost and holding of the sold currency at posting time, and if a short was covered, the short’s average sale rate and the covered amount. These figures were saved at posting time and do not change with later trades; “Not recorded for this trade” means the document is old and an exact reconstruction was not possible.
