Pending Vouchers

What is this page?

Every transfer form saved with the “Pending voucher (do not post yet)” box ticked lands here. A pending voucher means the complete, validated form has been stored but nothing has happened in the books: no balance moved, no entry was written to the ledger, no voucher number was consumed. Until someone approves it, it is only a draft.

When is it useful?

  • A receipt arrived but you are not yet sure which customer it belongs to.
  • A user without approval rights prepares the form so a manager can review and post it later.
  • A transfer that is planned but whose money has not moved yet, and you do not want to run ahead of the ledger.

A trade priced outside the allowed range

If a trade's rate is further from the board than that currency's “error %”, the app stops it and offers two ways out: Cancel (go back and correct the rate or the amounts) or OK — meaning “the rate is right, it's because of fees or unusual circumstances”. In the second case the trade lands on this page and nothing is posted until a manager approves it; the deviation percentage is shown under the description so the approver knows what they are deciding on.

Approving these needs its own permission: “Approve a trade priced outside the allowed range”. It is deliberately separate from the permission to record a trade, so nobody can approve their own deviation; the manager can grant it to whomever they choose. Once approved, the trade is posted at that same rate and keeps the person who filled the form as its creator.

Using the page

  • Approve and post: the draft is posted through the usual path, so the voucher is exactly what it would have been had you entered it directly. Date, both sides, amount, fees, description and the attached receipt all carry over, and the voucher keeps the person who drafted it as its creator.
  • Reject: the draft is archived, its attachment is deleted and no voucher is posted.
  • Filters: status, currency, drafter, date range, amount range and a search in the description — along with Excel and PDF export.

Notes

  • The “Pending voucher” box is off by default and never appears on the correction form (a voucher that is already posted cannot become a draft).
  • Anyone who may record a transfer can both draft and approve one — someone who could have posted it directly does not need to wait for another person's approval.
  • If something blocks the posting at approval time (the voucher date has fallen outside the allowed window, or a balance is short), you get the usual error and the draft stays untouched so you can fix it.
  • Pending vouchers awaiting approval also travel to the manager in the nightly “Open items” report.

The detail page

Click a row's code to open the document. The detail view is not a “key: value” table — it is exactly the form that was filled in: the same trade or transfer layout, the same amounts and fees, the same customer rate. The approver sees what the recorder saw, so nothing slips past unnoticed.

If the document is pending because of a rate deviation, the reason appears at the top and a comparison with the board rate table follows: this trade's rate, the board rate at that moment, the deviation percentage and the allowed limit — the basis for your decision.

Document code

Besides its row number, every pending voucher has a code written with its family prefix: PND12, PND403, and so on. The prefix says which form the code belongs to, so a code written on paper or sent in a message is never ambiguous.
