Register a group document
"Pay from the fixed account" debits every row and credits the fixed account with the total (like salaries). "Receive into the fixed account" is the reverse.
Step by step
- Pick the document type, the fixed account (bank/cash/customer) and the currency.
- Use "+ Row" to add counter accounts with amounts (and an optional memo per row).
- The live total under the table is exactly what leaves/enters the fixed account — submit.
Tips
- Bank fees need no separate feature: they are just one more row with an expense account.
- A blocked account is rejected in any row; the whole document is refused.
- All rows share one currency; for several currencies, register several documents.
The “Hidden” checkbox (for holders of the “View hidden accounts” permission): hides the document from users without that permission — it disappears from lists and opening its page shows “hidden”. Statement rows remain (to keep balances correct). Corrections and edits of a hidden document stay hidden.
A group document’s date can be set up to 3 days back (independent of the global setting) — e.g. on the 1st, post month-closing entries dated the last day of the previous month so they land in that month’s reports.
Private-note rule: this field is only for things you don’t want the customer to know that no other column already shows — e.g. the real counterparty of a transfer, or a commission paid to someone. The app never repeats the document’s own summary (amount, currency, rate, parties) here; those live in their own columns. Keep it short and useful.
- Header edit (always open): the group document's description, private note and hidden/visible flag can be fixed outside the window like any document — no effect on balances, recorded in the document history.
