Nightly Reports
What is this page?
This is where you decide which reports go out every night, with which filters, as a PDF file to the management WhatsApp group. You do not have to turn them all on; even if you pick only one or two, the rest stay as they are and can be switched on whenever you want.
First: the general settings
- The switch at the top turns the automatic nightly delivery on and off. While it is off, nothing is sent.
- Delivery hour is in system time. The scheduler checks every ten minutes and, after that hour, sends the report the first time each day.
- If automatic revaluation is on in Settings, at this same hour the revaluation runs first and the reports go out afterwards — so the figures are built on that day's closed books, and the “revaluation hour” on the Settings page no longer has any effect. If the nightly reports are off, the revaluation runs at its own hour as before. Daily profit text message decides whether that short message travels with the file.
- WhatsApp session decides which user's WhatsApp line the report leaves from; that line must be connected in “My WhatsApp”.
- Destination group is picked by searching its name through that same WhatsApp.
- File delivery mode: one PDF holding every report (default), or a separate file per report.
- Empty report: by default a report with no rows for that day is not sent; change this if you want it to arrive regardless.
Sorting
Most reports share two filters: Sort by and Sort direction. Debtors and creditors, for instance, can be sorted by reference-currency equivalent (the default), by currency, by customer name or by amount; trades by profit or value; daily assets by value or realized profit. Leave the direction on Automatic and text columns (currency, name) sort ascending while numeric ones (amount, profit) sort descending — or choose ascending/descending yourself. In grouped reports the order of the groups follows the same sort.
Available reports
- Trades — all buys and sells of the day with rate, counterparty, reference value and profit. You can ask for profitable trades only or loss-making ones only, set a reference-value range (from … to …), single out one currency or one user, and group by currency, customer or user. A subtotal for each group is printed underneath it.
- Transfers — the day's remittances and movements with their reference-currency equivalent, clearing status and both sides; it has the same value-range, currency and user filters.
- Daily assets — the same “Daily assets” report as in the app: for each currency the balance at the start and end of the day, the day's buys and sells with their average rate, the board price of the day, the value in the reference currency and the realized and unrealized profit. You can ask for currencies traded that day only, and switch the unrealized-profit column off.
- Profit and loss — the day's income and expenses per account, the net profit for the day and, if you wish, the accumulated profit.
- Daily expenses — the day's expenses in detail per expense account, with the voucher description, currency, reference-currency equivalent and which cash box or bank paid them. It reads the ledger rather than only the “Record expense” form, so bank fees and rounding differences appear too; an expense refund is shown as a negative amount. You can single out one expense account, one user or an amount range.
- Treasury balances — balances of cash boxes, bank accounts and wallets; either per account or only the total for each currency.
- Currency positions — open long/short positions per currency with average rate, current rate and unrealized profit; can be limited to long or short only.
- Debtors and creditors — the largest customer balances, with a minimum amount and a cap on the number of rows; you can ask for debtors only, creditors only, or only customers who had a document today.
- Open items — open deposit requests, unfinished payment commitments, uncleared receipts and due cheques (you set how many days ahead to look).
- Customer credit limits — every customer whose debt has passed the percentage of their credit limit you set.
- User performance — document count, trade count, trading profit and transfer value for each user on that day.
- New customers — customers registered on the same day.
Preview and test
- Preview this report on each card, and Preview the whole report at the bottom of the page, open that same PDF in the browser. The preview is built from the saved settings, so save first.
- Send a test now delivers today's report to the group immediately and has no effect on tonight's automatic run.
Notes
- The profit column in the trades report and the whole profit-and-loss report are only built for users who hold the “Profit and loss report” permission; a user without it does not see them in the preview either.
- Reference-currency figures for transfers use the rate at the moment the voucher was recorded, and trade figures use the reference rate of that trade.
- If the file does not reach the group, first check in “My WhatsApp” whether that user's session is connected.
The "wallet reconciliation" block compares every registered wallet’s book balance with its real on-chain balance (TRON and EVM networks) each night and highlights mismatches. Differences up to the configured threshold (default 5 USD in the reference currency, adjustable on the "token contracts" page) are ignored; only larger ones raise a warning.
