Vault count
Use this page to count the gold pieces of a till periodically: tick each piece you actually saw, re-weigh it if you want, and get a difference report at the end. The page appears only when "Gold trading" is on in Settings.
A count is only a control: it posts no document and changes no balance, stock or piece details.
Starting a count
Choose the till next to + New count and press the button. A till has one live count at a time; if one is open or awaiting approval, that one opens.
Ticking and re-weighing
- Seen: you saw the piece in the vault.
- Re-weighed is optional. Enter the scale weight and the difference from the book weight appears beside it. Entering a weight means the piece was seen. An empty box does not erase a recorded weight; remove the tick to clear it.
- Every tick is saved at once, so several people can count together and you can continue later.
- In the search box, type an assay mark or serial and press Enter: that piece is ticked and the cursor moves to its weight.
- The All, Not counted and Seen chips shorten the list.
- A count covers pieces only: melted gold, worked gold and serial-tracked bars. Count coins, bars without a serial and gold without pieces with the till count in the Treasury Daybook.
Extra piece
Record a piece that is in the vault but not in the list under Extra piece, with its assay mark, description or weight. An assay mark already in this list is refused; tick that row instead.
If a piece moves during the count
While the count is open the list stays in step with the till: a newly arrived piece is added, a piece that left or moved with a document becomes "Left with a document" and is not a shortage, and a partial issue updates the book weight. The moment you submit is the final picture.
Submitting and approving
Submit count closes the list, fixes the summary and waits for approval. The approver gets a bell notice and either approves the report or uses Reject and continue counting to reopen it with its ticks. Close a stale, unfinished count with Cancel count so a new one starts with fresh ticks; its summary at that moment and who cancelled it stay in the list.
Difference report
| Tab | Meaning |
|---|---|
| Shortages | A book piece that was not seen |
| Weight difference | Re-weighed weight differs from the book; negative means lighter than the book |
| Extra | Found, but not in the list |
| Left with a document | Left the till with a document during the count |
The top of the report also totals the shortage and difference in 18K grams. Excel and PDF give the open tab.
Fixing differences
A count corrects nothing by itself. Fix a wrong weight with Correct piece from the report row. Follow a missing piece with Assay mark trace, and if it is really gone, record it with Issue gold pieces. An extra piece comes in with Receive gold pieces or by attaching it to the balance.
Access
"Vault count" allows ticking and submitting; "Approve vault count" allows approving and rejecting. A cashier sees only the tills assigned to them, and a hidden till does not appear for anyone who cannot see its balance.
